Personal Identification & Travel Documents
Original Passport: Must be valid for at least 3 months beyond the intended stay and contain at least two blank pages.
Visa Application Form: Duly filled and signed by the applicant. Available on the Japan Embassy website or at VFS centers.
Photograph (as per Japan Visa Photo Guidelines): Submit one recent passport-size photo that meets the following specifications:
Size: 35mm x 45mm
Age: Not older than 6 months
Background: Plain white
Face coverage: 70%–80% of the frame
Pose: Looking straight ahead with clear visibility of facial features
Format: Colored photo on high-quality photo paper
Travel Details
Flight Tickets: Copy of confirmed arrival and departure tickets.
Hotel Reservation: Copy of confirmed hotel bookings showing:
Hotel name and address
Contact number
Applicant’s name
Dates of reservation covering entire stay
Itinerary: Day-wise travel plan for all days in Japan. Include cities, dates, and activities.
Financial Details
Income Tax Returns (ITR): 3 years of personal ITRs of the applicant or sponsor.
Bank Statement: 6-month bank statement, stamped and signed by the bank. Can be from the applicant or sponsor. Sponsor must be a blood relative or spouse.
Occupation Details
Employed Applicants: Leave sanction letter on company letterhead. Any one of the following on company letterhead:
No Objection Certificate (NOC)
Appointment Letter (if recently joined)
Payslips for last 3 months
Cover letter stating purpose of visit and travel details.
Self-Employed Applicants: Cover letter on business letterhead.
Business registration proof: GST certificate, Certificate of Incorporation, Partnership Deed, MOA, etc.
Valid proprietorship proof
Company bank statement for last 3 months
Mandatory Requirements
All documents must be in English or officially translated.
Embassy/Consulate may request additional documents or a personal interview.
Applications for travel within 10 days of submission are not accepted.
All copies must be printed on A4-size paper.
Conditional Requirements
Marriage Certificate: Required only if the spouse’s name is not mentioned on the back of the passport.
Sponsor Documents (if applicable):
Sponsorship letter stating applicant’s details and trip particulars.
Employment proof of sponsor.
Bank statement of sponsor.
Government ID proof of sponsor: If the sponsor is in India: Passport, Driving License, PAN Card. If the sponsor is in Japan: Passport or Driving License copy.
Letter of WFH / Remote Work: Required if the applicant’s designated work location is outside their current city. Must be signed by the employer and mention remote work approval.
